Refresh data imported from Jira

NOTE: Refreshing data is available to premium users only.

Overview

When you import Jira data into Office Timeline Online, the resulting timeline remains linked to your original source, so you can refresh the slide effortlessly whenever your plans in Jira change. This guide will show you exactly how it works. We’ll cover:

A) Accessing your Jira source

To get started, open the timeline you want to update and click the Refresh data button in the top-right corner of the screen.

After you give us access to your Atlassian account, Office Timeline will connect to the Jira source linked to your timeline and open the Refresh data wizard:

Quick tip: If you want to view or change the source or filter used on import, click the Change source button. It will open a menu where you can see your original sources and change the projects or boards used, remap columns, or choose a different filter.

B) Customizing your view in the data table

In the Refresh Data screen, you’ll see all the data that now differs in Jira compared to your current timeline. Each item will be accompanied by a Status label, providing a clear overview of the updates.

Use the Status filters to instantly hide or show all items that have a specific status, so you more easily see any specific updates you may be interested in. To do so, simply click the “Status” column header and check or uncheck whatever you wish from the dropdown menu.

Note: Status filters will affect only your current view – they have no impact on the actual timeline. Only the rows you select (or deselect) from the data table will impact your visual. 

C) Selecting updates and understanding status

Once you've sorted out your status filters to see what you want in the data list, just tick the checkboxes in the leftmost column to easily pick the updates you want for your timeline:

To move even faster, you can use the checkboxes above the data table to select or deselect whole groups of updates at once based on their status:

Changed

One or more of an item’s values (title, start date, end date etc.) differ in Jira compared to your current timeline. We show you both the timeline version and the Jira version of said item (task or milestone), with the differences highlighted, so you can easily decide which version to keep.

  • Select a Changed item to bring its Jira version into your timeline when refreshing data.
  • Deselect it to keep the values you currently have on your visual.

Deleted

The item exists on your current timeline but was deleted from Jira.

  • Select a Deleted item to remove it from your timeline.
  • Deselect it to ignore the deletion and keep the task/milestone on your timeline.

New

The item didn’t exist in Jira the last time you imported or refreshed your timeline's data.

  • Select New task or milestone to add it to your timeline. 
  • Deselect it to ignore it when refreshing data.

Imported

The item is already on your timeline and hasn’t changed since you imported or refreshed your source. All Imported items are selected by default when opening the data refresh screen.

  • Deselect an Imported item remove it from the timeline.
  • Keep the item selected to keep it on the timeline.

Not Imported

You had this item in Jira the last time when you imported last or refreshed your source, but you didn’t bring it into the timeline. 

  • Select Not Imported item to add it to the timeline. 
  • Deselect it to ignore it when refreshing data.

Invalid

The item is not importable because of missing or invalid data (e.g. the title or start & end dates may be missing). To fix invalid items, go back to Jira, double-check the issue names and dates, and correct any errors or empty cells in your data.


Once you finish choosing your updates, click the green Refresh data button and you’re done: Office Timeline Online will instantly refresh your timeline.

Final notes & tips:

  • You can use the Data refresh settings menu in the upper-right corner to choose whether to import 1-day tasks as milestones or to ignore title changes when refreshing data.data-refresh-settings
  • To avoid data conflicts on a shared timeline, only the timeline owner can refresh data. While data refresh is in progress, collaborators that may have the timeline open will be notified about it and asked to wait until it is over.
  • Refreshing data goes one way only. It will update your PowerPoint timeline to match the changes in your Jira source. Office Timeline will not impact or change your original source in any way.
